Google Docs is perhaps one of the best innovations created by Google since it allows you to see documents from the email itself without the fuss of downloading the document itself on your computer,
Basically, Google Docs is a free web-based spreadsheet, word processor, presentation and data storage created by Google. Aside from allowing the users to see the contents of the attached documents on the email, it also allows the users to edit the documents online and, at the same time, collaborate the document in real time with other users viewing the same document online.
The great thing about this tool is that it is supported by a lot of web interface and can support or lets you view and edit documents under the file formats like ODF, PDF, HTML, Text, RTF and even Word. Moreover, the opened documents also are automatically saved in order to prevent any relevant loss of data. Archiving is also possible with this tool.
Although great, Google Docs has limited storage capacity as it lets you only store files up to the capacity of 1GB while the images embedded should not exceed to 2MB each. Other limitations include the spreadsheet which only allows you 256 columns and 99 sheets. Thus, you are only allowed to put 5,000 documents and images, 1,000 spreadsheets and 100 PDFs at a time. These limitations can present a problem if you are running a company that involves a lot of paper works. However, if you are running a small company, then you can always use Google Docs without any problems at all.
When it comes to compatibility, this tool is very great since it allows you to open files from different formats like .doc and .docx. On the other hand, although the service is free when it comes to viewing the documents, file sharing is another thing. You have to pay for document sharing services.
Since this tool is web-based, then there is the issue about security. Unfortunately, there is a bug in the tool that allowed access to some private documents of some clients. For now, 0.05% of documents stored in Google Docs were affected by this bug. However, recent updates informed that Google Docs was already fixed from these bugs. We hope that this is true.
When it comes to convenience, Google Docs can be accessed using any smart phones. This means that even if you are taking a vacation, you can always access Google Docs in your iPhone anywhere and anytime.
